The following information was provided by Councillor Colle’s office in June 2026. Please note that councillors do not have voting jurisdiction at the Committee of Adjustment (CoA). However they can write a letter opposing an application.
Speaking at a Committee of Adjustment Hearing
Attend virtually by video or audio using Webex, by telephone, computer, tablet or smartphone, with pre-registration required no later than 4:30 p.m., two business days before the hearing date. See below for registration instructions.
Attend in person at the Committee of Adjustment (CoA) hearing room location for the district. The hearing location is on the Public Hearing Notice and the hearing agenda. In-person attendees are encouraged to pre-register as set out below.
For both virtual and in-person participation, any presentation materials must be emailed by 4:30 p.m. five business days before the hearing date. Staff cannot accept materials at the meetings.

Something to note: One person per household is permitted up to 5 minutes to speak to an application. If there are multiple individuals from one household who wish to speak, they can share the 5 minutes between multiple speakers.
Submitting Comments in Writing
Submit comments in PDF format via email, with a deadline of no later than 4:30 p.m., five business days before the hearing date. This is to ensure materials can be forwarded to members in advance of the hearing. See below for more details on how to submit comments in writing.
The letter should include file / case number, your full name, address, and signature. (Please see attached example letter.) Something to note: This information will all be publicly available once submitted.
Speaking on Behalf of a Neighbour
If you would like to speak on behalf of a neighbour while also giving your own deposition, it would be included in your 5-minutes, you would have to verbally state “I am also talking on behalf of…”
If someone who is not already deputing, you can register on behalf of your neighbour and get another 5 minutes, and verbally state “I am also talking on behalf of…”. However, CoA also suggests that it is also a good idea to send in a written letter on behalf of your neighbour.
